Westaff has an immediate opening for Office Assistant/ Data Entry Clerk provides accurate, detail-focused data entry and document management support while serving as the front desk point of contact.
This role requires strong attention to detail, the ability to multitask, and ability to balance administrative interruptions with precise data work. The position provides administrative support to Estimating and Purchasing departments, with occasional general assistance to Human Resources.
Key Responsibilities
- Serve as the first point of contact for visitors, vendors, customers, and applicants
- Answer and route incoming phone calls professionally and efficiently
- Perform accurate data entry into internal systems
- Enter new jobs, RFQs, and supporting information with a high level of accuracy
- Scan, upload, organize, and maintain digital and physical records (SharePoint and filing systems)
- Prepare and distribute work orders, RFQ folders, and supporting documentation
- Match, file, archive, and store Accounts Payable documents
- Support multiple departments and assist with administrative and creative projects as needed
