Documentation Research Specialist (Remote – Indianapolis Area Only)
Pay: $20/hour
Job Type: Full-Time, Temporary (6-month project)
Location: Remote (Must be a resident of Indianapolis, IN)
Job Summary
We are seeking a highly detail-oriented Documentation Research Specialist to support a time-limited documentation and records completion project. This role focuses on research, document validation, auditing, digitization, and Excel-based tracking to ensure records are complete, accurate, and fully searchable.
This is not an entry-level clerical role. The ideal candidate has prior experience working with structured records, document control, auditing, or technical documentation and is comfortable working independently in a remote environment.
Candidates must currently reside in the Indianapolis, IN area.
Essential Duties and Responsibilities
- Research assigned records to ensure documentation is complete and accurate
- Compile and validate documentation using multiple internal business systems
- Perform in-depth research of archived and “as-built” records when data is missing
- Coordinate with records or archive teams to obtain missing documentation
- Identify, catalog, and classify documentation accurately
- Digitize hard-copy documents by scanning to PDF
- Convert existing TIF files to PDF format
- Index, label, and store electronic documentation in designated locations
- Conduct detailed audits of completed records and document discrepancies
- Prepare written justifications for incomplete records after exhaustive research
- Track daily productivity and file completion metrics
- Create monthly Excel-based summary or analysis reports as needed
- Perform additional documentation and research duties as assigned
Required Qualifications (Applicants Must Meet These)
- Experience in documentation research, records management, document control, auditing, or data validation
- Intermediate to advanced Microsoft Excel skills (tracking, reporting, analysis)
- Strong attention to detail and ability to identify documentation gaps
- Ability to work independently and manage workload in a remote environment
- Strong written communication and documentation skills
- Comfortable working with both physical and electronic records
- Reliable home workspace and internet connection
- Must be a current resident of the Indianapolis, IN area
Preferred (Not Required)
- Experience with document imaging or digitization projects
- Familiarity with archived, historical, technical, or engineering documentation
- Experience auditing records or performing quality assurance reviews
- Background in construction, engineering, infrastructure, or technical records
- Experience working on project-based or deadline-driven initiatives
