Summary The HR Administrative Assistant provides support to the Human Resources department by performing administrative, clerical, and HR-related tasks. This role helps maintain employee records, assist with onboarding, support recruitment efforts, and ensure smooth day-to-day HR operations. Strong organizational skills, attention to detail, and professionalism are essential. Key Responsibilities Administrative Support Provide general administrative assistance to the HR team and management. Maintain employee files—both electronic and physical—ensuring accuracy and confidentiality. Prepare HR documents such as letters, forms, reports, and memos. Answer phones, respond to emails, and handle routine employee inquiries. Onboarding & Offboarding Assist with new hire onboarding, including preparing packets, collecting paperwork, and entering data. Schedule orientations, training, and first-day activities. Process employee terminations, ensuring all documents and company assets are collected. Recruiting Support Post job openings to job boards and internal systems. Schedule interviews and communicate with candidates. Assist with applicant tracking and maintaining recruitment documentation. Employee Records & Data Entry Enter and update employee information in HRIS or internal databases. Maintain accuracy of attendance, PTO, training, and compliance records. Assist with generating and distributing reports as needed. HR Coordination & Communication Assist with employee engagement activities, recognition programs, and company events. Help distribute HR communications, announcements, and policy updates. Support HR with compliance tasks such as audits, trainings, and certifications. Payroll & Benefits Support (As Assigned) Collect and verify timecards or attendance reports. Assist employees with basic benefits questions or direct them to appropriate resources. Help with open enrollment preparations and materials.
