Westaff is on the lookout for an Administrative Assistant for a state office in Helena, MT!
Schedule: Full Time, M-F, 8am-5pm
Term: 3 months
Pay: $22.60
Responsibilities:
- Opens, reviews, and processes incoming and outgoing mail, including written, fax, email, and certified mailings.
- Prepares legal documents, correspondence and other documents as requested by staff.
- Creates and maintains accurate electronic case files for all contested cases before the OAH using an electronic case management system in accordance with office policies.
- Schedules administrative hearings, coordinates exchange of exhibits and filing of documents, and determines if documents meet filing requirements.
- Monitors each case for compliance with mandatory timeframes as set by federal and state laws and regulations. Report’s discrepancies and implements remedial actions necessary to ensure compliance with applicable regulations.
- Proofreads and edits legal documents.
- Provides information to staff, attorneys, obligors and obliges, and the general public.
- Schedule’s meetings and conference calls as requested.
- Monitors the phone lines and responds to inquiries. Routes calls to staff members.
- Maintains reference manuals, memos, and other office policy memoranda.
- De-identifies decisions to ensure compliance with confidentiality requirements for uploading to the website.
- Maintains office filing systems as required by record retention laws.
- Coordinates and administers activities for the Board of Public Appeals (BOPA) including drafting letters, agendas, and minutes. Coordinate’s meeting space and drafts payment vouchers for BOPA members’ compensation.
- Attends meetings of the BOPA, operates conference phone, and takes minutes, records meeting.
- Works as part of the administrative support team to effectively and timely meet the needs of the office.
Qualifications:
- High School Diploma/GED
- One year of training in legal terminology.
- Two years job-related professional administrative legal support experience.
- Other combinations of education and experience may be considered on a case-by-case basis.
