Westaff is HIRING for an Executive Director Assistant in Lafayette, La.
Hours: Monday-Friday
8:00am -5:00pm
Pay: $21/Hour
Qualifications:
- Bachelor’s Degree required with a preferred concentration in English, Communication, Business Administration.
- Minimum of 3 years of experience providing executive-level support, preferably in public administration, nonprofit, or housing authority environments
- Prior experience working with a Public Housing Authority, government agency, or nonprofit organization (preferred)
- Knowledge of HUD regulations, PHA governance structure, and affordable housing programs (preferred)
- Project management certification or equivalent experience (preferred)
Responsibilities:
- Manage & maintain the Executive Director’s calendar, appointments, & travel arrangements.
- Serve as a liaison between the Executive Director/CEO and internal staff, board members, government agencies, & community stakeholders.
- Prioritize and respond to incoming communication on behalf of the Executive Director/CEO.
- Prepare & compile monthly Board of Commissioners meeting packets & ensure timely distribution.
- Attend all Board meetings & draft, revise, and finalize accurate & comprehensive meeting minutes.
- Track follow-up items & ensure timely responses to board directives & inquiries.
- Draft, proofread, & edit correspondence, reports, presentations, & other materials.
- Handle confidential & time-sensitive materials with discretion & professionalism.
- Manage office records & ensure digital and paper filing systems are organized & accessible.
- Monitor & order office supplies; work with vendors to secure the best pricing & terms.
- Conduct background research & compile data to support the Executive Director’s decision making.
- Assist with the coordination of special initiatives, public events, & interdepartmental projects.
