Pay: $20-$24 DOE
Shift : M-F, 8:30-12:30 with some flexibility.
Location: Hybrid schedule – Monday-Wednesday every other week in office; remaining days are work from home.
Duration: Up to 1 year.
The Program Coordinator supports the planning, implementation, and evaluation of programs across statewide and other locations. This position ensures operational efficiency, manages data and communications, and supports volunteers and participants.
Key Responsibilities:
Program Coordination & Support
• Maintain Smartsheet’s and tracking tools for program attendance, walk-ins, and enrollment across statewide locations.
• Coordinate with site volunteers and Non-Credit staff to manage participant registration and walk-in tracking.
• Update and maintain site timelines, planning sheets, and supply inventories.
• Ensure program materials are sent to sites in advance, including name tags, registration forms, and tracking sheets.
Data Management & Reporting
• Track and report enrollment, attendance, membership, and revenue data using shared spreadsheets and reports.
• Maintain and update email and mailing lists in HubSpot and Excel; ensure accuracy and de-duplication each term.
Program Logistics & Communications:
• Prepare and send participant reminders for all classes
• Schedule and send post-program evaluations using Qualtrics; track response rates and compile results.
• Manage communications and reminders, ensuring all parties have accurate program information.
• Manage online meetings via teams or Zoom.
• Take minutes from meetings and send any recorded meetings to participants.
• Track and total campus and statewide metrics for reporting and internal review.
Minimum Qualifications:
• 1-3 years related experience to include program coordination, logistics, data reporting and analysis
• Proficiency with Microsoft Office Suite (Excel, Word, Teams).
• Proficiency or willingness to learn office productivity software, project management tools, virtual meeting platforms, website content management systems, email marketing platforms, and online survey tools
• Comfortable with mail merge and data management
• Detail-oriented and able to meet deadlines across multiple programs
