Commercial Building Contractor Currently Seeking a Temporary Estimating Administrative Assistant Job Duties • Assist our estimating team with scheduling and coordination of project estimates • Receive quote requests daily via email, schedule and compile date needed for estimates online and through our database. • Research Project Leads • Data input of material required on estimates • Answer phones • Work with co-workers, sub-contractors, and customers daily • Receive and manage incoming quotes & Request for Information • Receive, prepare and distribute time-sensitive materials • Create and manage calendar invites for all estimating Bids • Update Project Action Form for lifecycle of the project from bidding to Pass-Off to Project Management. • Create and manage project folders from bidding to project handover meeting • Contact suppliers and vendors to discuss quoting projects • Provide a consistent customer service experience with subs, suppliers, and vendors • Track and update vendor information and manage local vendor database • Insurance Coordination (General Liability, Umbrella, Workers Compensation, Owner/Contractor Policy & Builders Risk) • Bond Management (Bid Bonds) • Document Management (Organization & Distribution) • Prepare Owner/GC Contract Documents • Performs other duties as required Skills and Abilities • Construction background preferred • Excellent verbal and written communication skills • Detail-oriented • Ability and composure to manage and meet deadlines • Professional, organized and team oriented • Ability to work both as a team player and independently • Computer knowledge, competency in Microsoft Office (particularly Word and Excel), experience with Bluebeam and Access a plus • Take initiative and have a service minded approach
