Westaff is seeking a Program Assistant for a state department in Helena, MT!!
Schedule: M-F, 8am-5pm or 8:30 am – 5:30 pm
Term: 2-3 months +
Pay: $18.00-$20.00/hr DOE
Duties:
- Serves as the first point of contact and general support by answering the main office phone and email account. Determines appropriate Bureau area of responsibility to direct the caller.
- Process reports and documents (audit-related materials, annual financial reports, and budgets) received through various manual and electronic methods. Review for completeness and update the computer system.
- Process incoming checks and prepares daily deposits. Provide technical assistance to local governments regarding payments and accounts payable.
- Assists with accounts payable. Research and document payment issues.
- Maintain letter and email templates.
- Runs periodic queries in our database for statistical purposes and to determine required mailings.
- Prepare and send notifications to local governments, auditors, and state agencies as needed.
- Maintains current local government and auditor contact information.
- Special projects as assigned by Bureau Chief and Accounting Manager.
Qualifications:
- Background check required
- High school diploma or equivalent; AND Two years of related experience;
- OR Alternative combinations of education and experience will be considered on a case-by-case basis
Knowledge of:
- Personal computers and general office equipment necessary to complete essential functions, including spreadsheets, queries for data analysis, word processing, database, email, internet, and other computer programs.
- Proficient in Microsoft products and automated accounting systems
- Office practices and procedures, business English, spelling, editing, and composition.
- Effective written and oral communication skills. Ability to:
- Provide excellent customer service through oral and written communications to stakeholders.
- Provide support and assistance to Bureau personnel.
- Prioritize workload, adapt to changing conditions, meet deadlines, and juggle multiple tasks throughout the workday.
- Give attention to detail and accuracy and aptitude towards numbers and dates.
- Be well organized and perform file and record-keeping tasks.
- Follow policies, established procedures, and applicable laws.
- Identify operational efficiencies, keep management informed, and compile reports, statistics, and summaries as requested.
- Research, track and restore accounting or documentation problems and discrepancies.
- Apply critical thinking skills to identify problems and develop possible solutions.
- Build and maintain cooperative working relationships.
- Work as part of a team or independently.
